Fulfillment process by the Linker platform

Synchronization

Synchronization is the initial step of the service fulfillment process on Linker Platform. Completed Consumer transaction enters the workflow at the warehouse stage.

Then, the order data is sent from an online shop system to Linker. At this point, the system receives orders from all available channels. Also, background synchronization can take place in real time or periodically in self-defined time slots.

Thanks to the automated synchronization process, no order will be overlooked and no order request will be sent more than once, either.

In general, using synchronization mechanisms of Linker leads to meeting standards of various global marketplace platforms, such as Amazon or eBay.

Verification

All the received orders are verified and only those which fit specific criteria, defined by validators, are accepted. Due to these definable parameters, possible errors and mistakes are eliminated. For instance, a shop will not accept orders without stock cover and a provider will not process an order if a customer’s phone number or address are incorrect.

Thanks to the well-defined verification process, it is possible to detect any irregularities which require taking action at a very early stage, which, in turn, helps limit conflict situations with consumers or those between shops and storage units. By eliminating such errors, the Linker platform provides high-quality services and meets all the terms and conditions of agreements within estimated budgets and at no extra charge.

In addition, verification mechanisms inbuilt in Linker allow for detecting most mistakes at the initial stage of order fulfillment. At this point correcting shipping addresses is much easier and quicker, involving fewer resources than at later stages of the fulfillment process, e.g. when the messenger knocks on the wrong door or is unable to reach the consumer.

Also, the ability to define both your own validators and parameters of the process enables highly flexible rules of cooperation between a shop and a 3PL.

Besides, the verification process organized in this manner allows a warehouse or 3PL provider to offer extra services to shops.

Picking and sorting

At this stage of the process, the consumer’s order is verified and accepted, so the fulfillment stage can begin in a storage unit. Then, the appropriate product range is gathered and prepared to be packed, which leads to the final stage of the successfully completed order.

The platform can support either single or multi-picking, or both of them, simultaneously. What is more, the applied mechanisms and tools support the staff in many areas. To facilitate and optimize the process of gathering and sorting product range, the platform offers a wide array of tools: scanners, audio and visual alerts, cooperation with smart shelves, grouping and virtual containers. All of them help to complete the order properly and minimize the number of mistakes caused by the human factor. Further, Linker is fully integrated with WMS class systems so that the applied systems can still be used, yet being upgraded with extra features. WMS class customers can also use a special module – Linker WMS.

Packing

The platform offers significant support in optimizing activities and processes concerning packing. Its integration with scanners and other outlying devices used at packing stations speeds up and facilitates proper order-packing. Functions, such as audio or/and visual signals, error alerts and validations prevent/ eliminate mistakes with packing. So do the following Linker’s functions:

Thanks to the integration with scales, the mass of a parcel constitutes another criterium for determining the correctness of completion and compatibility with weight limits set by logistics partners.

The integration with CCTV video cameras with the option of time-tagging the registered image allows for a quick and easy identification of a required fragment, e.g. for the purposes of handling complaints.

The integration with other systems enables printing proper documents (invoices or receipts) at packing stations and adding them upon packing.

In addition, a variety of customization options allow adding giveaways, gifts, and samples – to cope with that, Linker uses an appropriate signal, suggesting attachment of a suitable addition before a parcel begins its journey.

As for orders comprising of several parcels, it is easy to quickly determine what product range is contained in a given package.

Packing stations also closely monitor the usage of consumables, which can help to settle accounts between shops and storage units more accurately, as well as improve restocking plans and eliminate unnecessary stoppages. In case one out of several cartons does not reach the customer, it is very easy to spot a missing part and its content, as the Linker registered it while packing.

Tracking

The Linker platform tracks each order and product range at any time – it irrevocably resolves the perennial problem with the whereabouts of the current product range and the stage of the process. Status updates allow informing the consumer about the location of their order. Search options include standard parameters (number of order or/and customer’s last name, shipping address, order value, time of placing it) and many other criteria of personal preference.

Since statuses can be integrated with other systems, it does not matter whether communication with consumers takes place via shop or by sending text messages/e-mails to authorized staff. It is entirely up to you now and can be done automatically using Linker Platform, without engaging the staff.

Deliveries, returns and complaints

The platform improves the delivery process.
With delivery and shipping advancements, the stock entry process can be fast and easy. The warehouse will know what to expect before the delivery arrives, and as soon as the delivery is received and confirmed, it will automatically increase the availability of the stock in the store.

Notifications can also greatly simplify and speed up return and complaint processes. In the case of a successful complaint, the relevant documents will be prepared automatically and the consumer will receive a label to print on the return package – automatically, the relevant warehouse will receive a notification and will wait for the package from the consumer.

 

Automation

The platform was created to support the order fulfillment process at its optimal level of performance.

Firstly, whenever and wherever it is possible, it helps to reduce the number of errors. It means it can detect mistakes at the earliest possible stage in order to minimize the negative consequences in the following steps of the order fulfillment process.

Secondly, thanks to its consolidated construction, Linker enables integration with the systems used in the applied processes. In practice, then, it integrates not only with WMS and ERP class systems, but also with e-commerce and marketplace platforms. After it was successfully integrated with most Polish logistics partners, it is being currently integrated with partners abroad to meet all customers’ needs.

The integration in this field allows for transferring data directly between systems, without involving the staff. Thanks to automatization, the Linker platform eliminates errors and delays.

The platform is open and allows two-way integration. Apart from collecting information from other systems it also shares data with them (stock positions, statuses, parcel numbers, etc.). It can share information required by global players, such as Amazon, too.

Its flexibility offers a lot of options to automatically define rules, cases, validators, criteria, and processes.

Integration and automatization allow for saving a lot of time as they eliminate the need of managing multiple systems (logging on into different ones), copying data in between them or searching for information. Reporting

The Linker platform enables detailed reporting based on different criteria and during periods of your own choice. It includes a catalogue of report setups concerning stock positions, offtakes, notifications, completions and returns.

Moreover, it offers filtering or/and exporting data in popular formats, making detailed analyses possible to carry out.
